Shift board — fill gaps without a separate marketplace

Post unfilled shifts to your organisation’s board so eligible workers accept from the mobile app — with compliance requirements published before they tap Accept. Optionally list the same post publicly on HealthOS (suburb and requirements only, never participant names).

The shift board has two channels on one post: internal (your workers in the app) and public (opt-in listings on the HealthOS website). Assignment and compliance always stay with the provider — HealthOS does not broker cross-org rostering.

Coordinators manage posts and assign from claims on the web. Field staff browse, review published requirements, and accept from the worker app — with push alerts when a shift matches their profile.

End-to-end workflow

  1. 1Coordinator

    Create or open an unfilled shift

    Schedule a shift without a worker, or remove assignment from a draft. Tick “Post to shift board” at creation (and optionally “Publish public listing”), or post later from the shift workflow panel.

  2. 2HealthOS

    Publish requirements & notify eligible workers

    The system snapshots compliance rules, stores them on the post, notifies eligible internal workers, and — when you opt in — adds an anonymised public listing (suburb, schedule, requirements, provider contact).

  3. 3Support worker / applicant

    Review and respond

    Your workers browse the shift board in the mobile app with personal eligibility shown. External applicants browse public listings on HealthOS and contact your organisation directly — they are not auto-assigned.

  4. 4Coordinator / manager

    Assign with compliance gates

    Assign from internal claims or roster someone you recruited via a public listing. SIL ratio, screening, and availability checks still apply — same gates as a direct roster offer.

Compliance requirements published on each post

Requirements are computed from the shift, program, and participant file at post time — then shown to workers before they accept. Final assignment re-checks eligibility.

Worker eligibility

  • No overlapping shifts during the posted window
  • No approved leave during the window
  • Assigned to the shift’s region when your organisation uses regions
  • NDIS Worker Screening current and not refused (NDIS shifts)
  • First aid certification current when recorded (NDIS shifts)

Participant readiness

  • Active service agreement on the participant file for the program
  • Plan or package readiness checks that would block rostering
  • Any person-profile compliance blockers (shown as “Participant file” on internal posts)

At assignment

  • SIL ratio and residential rules still enforced when assigning SIL shifts
  • Worker availability and credential checks re-run at accept and assign
  • Coordinators may apply additional judgement before final assignment

Access & assign modes

The shift board uses the same staff accounts, organisation boundary, and role permissions as rostering — not a separate product or external login.

Same sign-in, same organisation

Internal shift board posts are scoped to your organisation. Public listings use a read-only API — no login required to browse, but only your coordinators can publish or remove them.

Role-based actions

Coordinators and site managers post shifts, toggle public listing, and assign from claims. Org admins enable public listings and set contact details in Settings → Claiming.

Program and site context

Posts inherit program type (NDIS, Home Care, Allied Health), site, and SIL home context. Public listings show suburb parsed from the site address — not the participant’s home address verbatim.

Privacy by design

Participant-specific compliance lines are stripped from public requirement text and replaced with a generic service-agreement note. Filled or cancelled posts disappear from the public shift board automatically.

Review claims before assigning

Workers who accept appear in the shift board queue and in manager mobile views. A coordinator or site manager chooses who gets the shift — useful when you want continuity, gender preference, or skills matching beyond automatic checks.

Fast fill when speed matters

The first eligible worker to accept is assigned immediately if no one else has taken the shift. Other acceptances are notified that the shift was filled. You choose this mode in organisation preferences.

How it fits your existing flows

The shift board extends rostering — it does not bypass compliance, auth, or direct offers to named workers.

Complements direct offers

Posting to the shift board does not replace offering a shift to a named worker. Use direct offer when you know who you want; use the board (and optionally a public listing) when you need wider coverage.

Roster & calendar stay in sync

Board posts appear on staff calendars, in the roster shift board view, and on the manager team dashboard. Filled posts move the shift to confirmed like any other assignment.

Compliance before and after

Participant compliance that blocks rostering still blocks shift creation. Published requirements are a snapshot at post time; final assignment re-validates worker eligibility, SIL ratios, and screening.

Two channels, one post

Internal workers get push alerts and accept in the app. Public applicants contact you from the website listing. You roster whoever fits — both paths use the same shift record and audit trail.
