Migration playbook

  1. Step 1

    Discovery and program scoping (week 1)

    We confirm which programs you currently operate (NDIS only, NDIS + aged care, etc.), which credentials need to migrate, and whether plan management is in scope. No PII leaves your environment during scoping.

  2. Step 2

    Data export from ShiftCare (weeks 1–2)

    You export workers, clients/participants, current rosters, and historical timesheets in CSV. HealthOS provides import templates that map directly to Person, Worker, NDISEnrollment, and Roster records.

  3. Step 3

    Parallel-run on next pay cycle (weeks 2–3)

    A pilot team runs one fortnight of rosters in HealthOS alongside the existing system. SCHADS calculations are validated against your last pay run before live cutover.

  4. Step 4

    PACE/PRODA, claims, and plan management go live (weeks 3–4)

    Active claims switch to HealthOS pre-validation and batch submission. NDIA remittances reconcile back to invoices automatically; legacy ShiftCare access stays read-only for historic reference.

  5. Step 5

    Practice Standards mapping and audit-ready exports (week 4+)

    Operational data already flowing through HealthOS maps to NDIS Practice Standards evidence. The export bundle is ready for your next quality audit without manual assembly.

Common questions

How long does switching from ShiftCare take?
A single-program NDIS provider typically reaches go-live in three to four weeks. Larger organisations or multi-program rollouts run six to eight weeks with a phased program-by-program go-live.
Can we keep our historical ShiftCare data?
Yes. ShiftCare exports become read-only archives; HealthOS imports the active client, worker, and roster set required for ongoing operations and references the legacy archive when needed.
Will we lose our NDIS Worker Screening or credentials data?
No. Worker credentials — NDIS Worker Screening, Police Check, First Aid, AHPRA where applicable — are imported with expiry dates so the renewal sweep continues uninterrupted.
